The short version
We collect what you give us, like your name and work email when you book a demo.
Analytics, session replay, and ad pixels (like Google and Meta) help us improve the site and show you our ads.
Some ad pixels may count as “sharing” under state law, and you can opt out.
Ask us to access, correct, or delete your information at any time.
01Who we are and what this covers
MentionMethod is a product of OptalX, LLC (“MentionMethod,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, and share personal information when you visit mentionmethod.com (the “Site”), request a demo, contact us, or otherwise interact with our marketing.
This policy does not cover information we process on behalf of our customers when we run campaigns for them. In that role we act as a service provider (or “processor”), and that information is handled under our agreement with the customer and the customer’s own privacy notice.
02Information we collect
Information you give us
- Contact and business details, such as your name, work email, phone number, company, job title, and the message you send us through a form or email.
- Scheduling details when you book a demo, such as the time you choose and anything you tell us about your goals.
- Job application details if you apply for a role, such as your resume, work history, and links you provide.
- Communications, including emails, call notes, and feedback you send us.
Information collected automatically
- Device and usage data, such as IP address, browser type, operating system, referring page, pages viewed, time spent, and links clicked.
- Approximate location (for example, city or region) derived from your IP address.
- Interaction data, such as mouse movements, clicks, and scrolling, which session-replay tools use to show us how the Site is used.
- Cookie and pixel identifiers set by us and our partners, described in Section 4.
Information from other sources
We may receive business contact information from partners, event organizers, publicly available professional sources, and advertising platforms (for example, reports on how our own ads performed).
03How we use information
- Respond to your requests, schedule and run demos, and follow up on your inquiry.
- Provide, support, and improve our services and the Site.
- Send business communications about MentionMethod, including product updates and marketing emails (you can opt out at any time).
- Understand how visitors use the Site so we can fix problems and make it better.
- Advertise MentionMethod and measure how our ads perform, including showing our ads to people who have visited the Site.
- Evaluate job applicants.
- Protect the Site, our customers, and us, including preventing fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our agreements.
If you are in the European Economic Area, the United Kingdom, or Switzerland, we rely on these legal bases: performing a contract or taking steps at your request before entering one; our legitimate interests in running and marketing our business (balanced against your rights); your consent, where required (for example, for certain cookies); and compliance with legal obligations.
04Cookies, pixels, and similar technologies
We and our partners use cookies, pixels, tags, software development kits, and similar technologies (together, “cookies”) on the Site. These collect information such as your IP address, device and browser details, pages viewed, actions taken, and cookie or advertising identifiers. We group them by purpose:
| Category | What it does and examples |
|---|---|
| Essential | Runs the Site, keeps it secure, and powers features you ask for, such as our contact and demo forms (for example, Formcrafts). |
| Tag management | Loads and manages the other tools on the Site (for example, Google Tag Manager). |
| Analytics and measurement | Shows us how visitors find and use the Site, including heatmaps and session replays of clicks, scrolls, and mouse movement (for example, Google Analytics and Microsoft Clarity). |
| Advertising and retargeting | Measures our ad campaigns and conversions, builds audiences, and shows our ads to people who visited the Site as they browse other sites and apps (for example, the Meta Pixel, Google Ads, Microsoft Advertising, LinkedIn Insight Tag, and other advertising and programmatic partners). |
The specific providers we use may change over time. Any new tools we add will be used for the purposes described in this policy.
Microsoft Clarity
We partner with Microsoft Clarity and Microsoft Advertising to capture how you use and interact with the Site through behavioral metrics, heatmaps, and session replay, to improve and market our products and services. Website usage data is captured using first-party and third-party cookies and other tracking technologies to determine the popularity of products and services and online activity. We also use this information for site optimization, fraud and security purposes, and advertising. For more information about how Microsoft collects and uses your data, see the Microsoft Privacy Statement.
Advertising audiences
Advertising partners may combine information collected on the Site with information they collect elsewhere, including across your devices, to show you relevant ads and measure their results. We may also share hashed (scrambled) contact information, such as a business email address, with platforms like Google, Meta, Microsoft, and LinkedIn so they can match it to their users and show our ads to them or to similar audiences. Each platform’s use of this information is governed by its own privacy policy, such as Google’s and Meta’s.
Your choices
- Most browsers let you block or delete cookies. If you do, parts of the Site may not work as intended.
- Where the law requires it, we will ask for your consent before setting non-essential cookies, and you can change your choice at any time.
- You can manage personalized ads from Google in My Ad Center and from Meta in your ad preferences, and opt out of Google Analytics with the browser add-on.
- You can opt out of interest-based ads from many companies through the Digital Advertising Alliance and the Network Advertising Initiative, or Your Online Choices in Europe.
- We treat a Global Privacy Control (GPC) signal from your browser as a request to opt out of the sale or sharing of your personal information for that browser.
06Your U.S. state privacy rights
Depending on where you live (including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and other states with privacy laws), you may have the right to:
- Know and access the personal information we have about you and how we use it.
- Correct inaccurate personal information.
- Delete personal information we collected from you.
- Opt out of the sale or sharing of personal information and of targeted advertising.
- Not be discriminated against for exercising any of these rights.
In the past 12 months we have collected these categories of personal information: identifiers (such as name, email, and IP address); professional information (such as company and job title); internet activity (such as pages viewed and interactions with the Site); approximate location; and inferences drawn from this information. We do not knowingly collect sensitive personal information as defined by California law.
To make a request, reach us through our contact page and include “Privacy Request” in your message. To opt out of sale, sharing, or targeted advertising, you can also use the browser controls in Section 4, including Global Privacy Control. We will verify your request by matching the information you give us with what we hold, and we will respond within the time the law requires. You may use an authorized agent, who must show us your written permission. If we deny your request, you may appeal by replying to our decision.
07Rights in the EEA, UK, and Switzerland
If you are located in the European Economic Area, the United Kingdom, or Switzerland, you have the right to access, correct, delete, restrict, or object to our processing of your personal information, to receive a portable copy of it, and to withdraw consent at any time where we rely on consent. You can exercise these rights through our contact page, and you may also complain to your local data protection authority.
We are based in the United States, and your information will be processed there. When we transfer personal information from these regions, we use appropriate safeguards such as the European Commission’s Standard Contractual Clauses.
08Marketing emails
You can unsubscribe from our marketing emails at any time by clicking the unsubscribe link in any message. We may still send you non-marketing messages, such as replies to your requests or messages about an agreement you have with us.
09How long we keep information
We keep personal information for as long as we need it for the purposes described in this policy, such as maintaining our business relationship, meeting legal, tax, and accounting requirements, resolving disputes, and enforcing agreements. When we no longer need it, we delete it or de-identify it.
10Security
We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11Children’s privacy
MentionMethod is a business service, and the Site is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has given us personal information, please contact us and we will delete it.
12Third-party links and services
The Site may link to websites and services we do not control, such as the AI platforms we reference. Their privacy practices are governed by their own policies, and we encourage you to review them.
13Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date at the top of this page. If we make material changes, we will provide additional notice where the law requires it.
